Education Centre Policies

  • Registration and Payment

    Student registration is complete when the Office has received all necessary information and payment arrangements have been made. Fees may be paid either as a single payment or by the monthly payment option. No lesson time will be assigned nor reserved until the registration and payment arrangements are complete.   • Lessons Missed By The Student

    When a student enrolls for lessons, the instructor commits a weekly time for lessons. Both the instructor's income and the Education Centre's budget are dependent on the fees generated by these reserved times, and it is therefore not possible to offer refunds for lessons missed or cancelled by the student.

    Each student is allowed (2) two cancellations per block of twelve booked lessons provided that the Office receives a minimum of 24 hours notice. The cancellation may be used for illnesses, vacations, doctor appointments, school concerts, etc. Lessons cancelled because of social events or lack of time will not be refunded or made up. After two cancellations in a block of twelve lessons, lessons missed by the student will not be rescheduled. A cancellation allowance that is not used may not be rolled over to a future lesson block.

    One cancellation counts as one lesson day, not a group of days (i.e. extended vacation).

    Makeup lessons are used to replace excused cancellations. Makeup lessons are scheduled through the Office at a mutually agreed time that is convenient for both the instructor and the student

  • Lesson Forfeits

    A Late Cancellation will be charged as a lesson forfeit if a cancellation notice is given no earlier than one hour before the lesson time. No Shows, which result from the student not giving any notice of absence, will be charged as a lesson forfeit, and the student forfeits monies paid toward that lesson. Calling during or after lesson time is also considered a No Show. Late Cancellations and No Shows are not covered under the Lessons Missed by the Student described above.

  • Giving Notice of a Cancellation

    Students and instructors may call the Office at 429-1010 to cancel a lesson.

  • Lessons Missed by the Instructor

    If an instructor is unable to teach a scheduled lesson (i.e. other professional commitments or illness), the instructor will give as much advance notice as possible. The Office will contact students as soon as possible so that we may smoothly and efficiently reschedule student lessons.

  • Missed Group Lessons

    Missed group lessons will not be refunded or rescheduled.

  • Special Religious Observances

    The Education Centre respects the religious obligations of its instructors and students, and the Administration believes it is both the student’s and instructor’s right to refuse a lesson scheduled on a holiday or a day of regular religious commitment. If an instructor or student wishes to observe a special religious holiday that would result in a missed lesson, notification should be given as far in advance as possible. Mutually agreeable arrangements must be made, and an alternative lesson should be scheduled through the Office.

  • Refunds

    Classes and private lessons already underway have a no refund policy.

  • Class Cancellations

    Classes have a minimum enrolment established, and these numbers vary from class to class. If the minimum enrolment is not reached the class will be cancelled or, if possible, combined.

  • Observation of Lessons and Classes

    The Education Centre has an open door policy for its lessons. Parents/guardians may sit in and observe lessons and groups upon request. The Director and other representatives of the Education Centre occasionally visit classes and lessons.

  • Waiting Room

    Anyone waiting for a student to finish a lesson may use the Waiting Area. This area is placed in an area of the building where noise will not interfere with the teaching studios. Washroom facilities are located nearby. Because of fire regulations and security concerns, students and parents are not permitted to wait in areas outside of studios.

    A parent must be with a student under the age of nine at all times. Please do not drop off a student over the age of nine before determining that the instructor is there.

  • Practice and Instrument Policy

    Students must have an instrument at home to practice on; otherwise they will not progress in their lessons. Practice sessions of at least 20 minutes a day, five times per week are recommended as muscles must be regularly trained to learn to play an instrument. Without practice, a student's progress in lessons is greatly hampered and holds back others' progress in a group lesson.

    Keyboards, drumsets, amplifiers, and some percussion instruments are supplied by the Education Centre. Guitars, banjos, mandolins, violins, fiddles, and basses are not provided and students must bring their own instrument to lessons.

  • Suspension of Students

    The Education Centre reserves the right to suspend students for non-payment of tuition or inappropriate conduct.

  • Cancellation of Instruction

    The Education Centre reserves the right to withdraw any course or level of instruction at any time without notice or liability other than to refund tuition fees received for lessons cancelled due to such withdrawal.

  • Agreement

    It is hereby understood and agreed that the student and parent/guardian of the student agree to comply with the policies of The Education Centre.

  • Duty of Care

    Our staff are expected to act responsibly and exercise a Duty of Care to our students as outlined in our Code of Conduct.
